Job Details

Position: Admin cum HR Executive
Salary: RM2,500 – RM3,000
Working Days: Tuesday – Sunday
Working Hours: 8:00 AM – 5:00 PM
Location: No. 17, Jalan 4/1A, Section 4, Bandar Baru Bangi, Selangor

Job Description

A) Administration

1. Manage, organize, and maintain all company documents in both physical and digital formats in a systematic manner.
2. Prepare official letters, memos, notices, and administrative-related reports.
3. Coordinate office operations and liaise with vendors related to administrative matters.
4. Monitor maintenance of office equipment and facilities at the company premises.
5. Prepare, record, and manage management meeting minutes, including agendas, decisions, task lists, and follow-up actions.
6. Ensure all meeting decisions are clearly documented and monitored until completion.
7. Manage and update halal documentation in accordance with JAKIM/JAIN requirements, including raw material lists, halal suppliers, and supporting certificates.
8. Coordinate the Halal Assurance System (HAS) and act as the Person-in-Charge (PIC) for documentation during halal audits, ensuring any changes in materials or suppliers are properly recorded and reported.

B) Human Resources (HR)

1. Manage the full recruitment process, including job postings, candidate screening, and interview sessions.
2. Prepare offer letters, employment contracts, and manage the onboarding process for new employees.
3. Manage and update employee files, including personal records and disciplinary records.
4. Coordinate staff performance evaluations and KPI assessments, and act as a communication bridge between employees and management.
5. Manage attendance records, leave applications, medical certificates (MC), and staff work schedules.
6. Prepare payroll data for the accounts team and manage statutory records such as EPF (KWSP), SOCSO, and EIS.
7. Ensure compliance with the Employment Act, internal company policies, and human resource guidelines.
8. Organize and coordinate internal training programs, including onboarding training, development of basic modules (discipline, SOP, halal awareness, company culture & values of Mak Kimbong), and training sessions with Heads of Department.

Requirements

1. Diploma or Degree in Human Resource Management, Business Administration, or related fields
2. Experience in administrative and HR functions is an advantage
3. Good knowledge of Employment Act and basic HR practices
4. Able to handle confidential information with professionalism
